Roles and Responsibilities

The following is intended to describe the general nature and level of work you’ll be doing. Other duties may be involved. This is an autonomous role for a self-starter, who adapts well to change, is proactive, values quality, and maintains a people-first professional and polished attitude.

  • Manage CEO’s inbox
  • Sort and organize virtual mailboxes
  • Monitor and order supplies
  • Researches and maintains relationships with vendors (interfacing with business and personal contacts including in-person, over the phone, and email)
  • Create meeting notes and outline agendas
  • Open, manage, and track trade accounts
  • Manage orders, track shipping, resolve delivery issues
  • Make online purchases
  • Organize and manage company files
  • Assist with business certifications and applications which help market and grow our company.
  • Take initial client calls and do the initial vetting
  • Prepare client folders
  • Send thank you notes and assist with preparing client gifts
  • Make follow up calls and send follow up emails
  • Research, organize, and maintain a detailed list of contacts (vendors, suppliers, providers).
  • Book travel and logistics
  • Lead planning and execution for marketing deliverables
  • Manage scheduling and external communications
  • Coordinate all aspects of third party media and photography
  • Manage testimonials and referrals
  • Assist in developing our marketing plan
  • Coordinate with vendors and service providers to fulfill marketing deliverables for target markets.
  • Manage the marketing plan performance to ensure goals and objectives are met.
  • Update and manage all aspects of marketing across print material, social accounts, and advertising.
  • Source high quality images for design presentations
  • Review design presentations in advance of client meetings

Requirements:

  • Minimum of 2 years supporting executives
  • Bachelor’s Degree
  • Outstanding oratorical skills
  • Works independently
  • Proficiency in managing multiple projects, tasks, and fulfills requests in various stages of development.
  • Reliable computer and WiFi to utilize web based systems
  • Experienced with task management software
